As we continue to grow, we're seeking an organized, proactive Executive Operations Coordinator to support senior leadership and help keep key initiatives, projects, and day-to-day operations running smoothly.
This role combines executive support, project coordination, and operational administration. You'll work closely with senior leadership to coordinate priorities, improve organization, maintain operational processes, and help ensure projects move forward efficiently.
The ideal candidate is highly organized, resourceful, and enjoys creating structure, managing details, and helping others stay focused and productive.
What You'll Do
Executive Support
- Provide day-to-day administrative and operational support to senior leaders.
- Manage complex calendars, scheduling, and meeting logistics.
- Prepare meeting agendas, materials, meeting notes, and follow-up action items.
- Coordinate travel arrangements, expense reporting, and executive communications.
- Help anticipate scheduling conflicts and proactively keep priorities organized.
- Track action items and follow up to ensure commitments are completed.
Project Coordination
- Assist with coordinating projects across departments.
- Maintain project timelines, trackers, and documentation.
- Schedule meetings and help keep initiatives moving forward.
- Provide regular status updates and assist with project follow-up.
- Help ensure important priorities stay organized and on schedule.
Operations & Administrative Support
- Create and maintain SOPs, templates, trackers, and operational documentation.
- Help identify opportunities to improve workflows and organization.
- Maintain accurate records and administrative systems.
- Assist with onboarding coordination, documentation, and operational processes.
- Support budget tracking, reimbursements, vendor coordination, and reporting as needed.
Communication & Organization
- Communicate professionally with internal and external stakeholders.
- Handle confidential information with discretion.
- Build positive working relationships across departments.
- Help ensure information is communicated accurately and in a timely manner.
- Support leadership by helping maintain organized workflows and priorities.

Qualifications
Required
- 3–5 years of experience supporting executives, business leaders, or administrative operations.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and follow-through.
- Ability to handle confidential information with professionalism and discretion.
- Comfortable working closely with leadership.
- Proficiency with Google Workspace, Microsoft Office, and other common workplace technology.
Preferred Experience
Experience in one or more of the following roles:
- Executive Assistant
- Senior Administrative Assistant
- Executive Coordinator
- Operations Coordinator
- Office Manager

Experience with:
- SOPs and process documentation
- Meeting and event coordination
